The Polymita ECM solution consists of several components, each of which designed to support various user profiles in their management of different lifecycle phases of the document and contents.

Starting with the document management, an editor can model, approve, manage and publish various contents, and also integrate it with other modules of Polymita, such as process management and web publishing.

Content and document repository

Polymita allows the complete lifecycle document management; creation, approval, publishing, search and expiring date.

Unlike other systems, all the portal content is stored in databases, facilitating access and use of the information. It allows a direct mapping of the information against existing databases or any other type of external system.

Polymita has a document repository with a 100% web interface, based in AJAX. It is completely integrated with the rest of the application of the suite, which allows its use both in portal management as well as in management of content or processes.

  • Complete management of the life cycle of a document: Creation, revision, approval, publication, search, expiration and history management.
  • The documents which form part of any content or file may be pulled up from web interface.
  • Automatic as well as manual definition of document publication and expiration dates.
  • Assignment of permission to users, roles and groups, for a document or file, for reading, writing, revision and approval.
  • Ability to reference a document with a sole URL in order to permit its link from any portal.

Engine for content management and control of presentation

The system completely separates the structure of the content, the information of each instance and its different views, allowing the generation of multiple presentations of the same at different points of the portals or processes.

The suite allows you to publish, view and manage different types of multi-language and multimedia content:

  • Structured content, modelled with Polymita Content Studio® and presented using forms or presentation templates. This type of content is stored in a repository in a database and can be presented in various views.
  • Unstructured web content, created using the flexible online HTML editor, easy to use for non-technical users.
  • Documents and files, which are stored in the document repository with versioning.

Simple forms enable non-technical users to easily publish and administer all of these types of content online.

They can also be modified from a private administration area or in situ from the same page where they are published, which facilitates all maintenance tasks for large web sites.

Each type of content can be associated with an approval workflow so that the review and publication of content can be delegated to any other user or group of users.

All of these may be categorized automatically, according to the configuration of the viewing module, to be published on different pages and portals.

All the information published will be automatically indexed and accessible through the integrated search.

 

Modeler of integrated content, templates and forms

Allows modeling of the structure of the content and business objects (e.g. Notices, invoices, contact information, etc), defining of multiple forms for each type and description of how they are to be visualized in the portals or processes.

Polymita Content Studio, the innovative content modeler (for example news, data on an incident, orders, etc.) and forms online, allows a non-technical user to describe the structure of the data and the forms necessary to present and collect information from the portal users.

These contents and objects may be used directly by the different portal modules, without a need for any further development, which results in great agility and speed when starting up new services.

Among others, it includes the following characteristics and advantages:

  • The structured information is stored in a database document repository, making it easy to use the data and guaranteeing performance and reliability.
  • Multiple forms or read-only views can be described for each content, facilitating customization of the view by the role or type of user connected.
  • All kinds of relationships between the content can be modeled, presenting them, for example, as subforms. This hugely favors reuse and maintenance, making it possible to construct objects from other objects.
  • Complete multi-language support. The forms can accept and treat data, labels and descriptions transparently in various languages.
  • Allows connections to external databases, thus permitting the use of pre-existing data.
  • Complete integration with the document repository, which makes it possible to upload and download documents from the forms, saving and indexing the information automatically for future searches within the document repository.
  • The forms generated are rich, automatically using AJAX for validations and formulas on the server.

Portal publishing

Content may be published and managed online in a simple manner by non-technical users. These forms can be associated with an approval workflow so that review and actual publication of content can be delegated to any other user or group of users.

Because it is a multiportal platform, any organization can manage all of its portals using one single tool, reducing the problems and the cost of management.

Thanks to this characteristic, only a single installation of the software and hardware is needed to manage multiple portals, thus reducing maintenance costs.

  • Security and flexibility is guaranteed, since the security system permits assigning page, portal or module permissions to users or groups.
  • Fast and easy creation of the portals with little or no programming, through the configuration of the tool using Drag and Drop and configuration of the existing modules.

Indexing and search of integrated content

The platform incorporates an integrated content search that can search within content and documents and present them to the user, depending on the user's permissions and access level, thus guaranteeing the security and confidentiality of the information.

All content entered, whether by forms or attached documents, is automatically indexed so that it can be searched immediately from the different pages of the portal. Additionally, in order to improve the quality of the search results, it recognizes plurals, gender, verb tenses and root words.

 

EAI Connectors EAI (Enterprise Application Integration)

The EAI connectors (Enterprise Application Integration) allow an integration between processes and other existing systems, using standard protocols like database transactions, webservice, XML, messages and others:

  • Introspection on webservices: from the WSDL describer endpoint, all messages and services available are automatically displayed, to configure a call easily by clicking on the tree node.
  • Messaging queues (JMS).
  • Databases (JDBC).
